Who we are

Weddings by AJR is a wedding planning and design business founded by Abbie Richardson, based in the West Midlands and working with couples across the UK.

The controller responsible for your personal information is Weddings by AJR.

Information we collect

When you enquire, we collect the information you provide, which may include your name, email address, wedding date, location, budget, preferred service and details about your celebration.

If you become a client, we may also collect contact and billing details, planning preferences, correspondence, contracts, supplier information and the details needed to organise your wedding.

Where necessary, couples or suppliers may provide information about other people involved in a celebration, such as guest names and seating arrangements. Please share only information needed for planning and make this policy available to those concerned.

Our website providers may collect technical information, including your IP address, browser and device information, pages visited and information about how you interact with the website.

Please avoid including health information or other sensitive personal details in your initial enquiry. If this information becomes necessary for planning, we will explain how it will be used and establish an appropriate legal basis before collecting it.

How and why we use your information

We use personal information for the following purposes:

  • Enquiries and bookings: to respond, discuss your requirements and prepare proposals. Where you are considering booking our services, this is necessary to take steps at your request before entering a contract.
  • Wedding planning: to provide agreed services, communicate with you and coordinate the celebration. We rely on our contract with you for client information.
  • Event coordination involving guests and suppliers: to organise communications, schedules and arrangements. Where appropriate, we rely on our legitimate interest in delivering the celebration efficiently, while considering the privacy of those involved.
  • Business administration: to maintain financial records and meet applicable legal obligations.
  • Website security and general correspondence: to protect our website, prevent misuse and manage communications. We rely on our legitimate interests in operating a secure website and managing our business.
  • Marketing or promotional photography: where we seek your consent for these activities, we use information only within the scope of that consent.

Submitting an enquiry does not subscribe you to marketing emails.

You do not have to provide information, but without the contact or planning details we need, we may be unable to respond or provide our services.

Who we share information with

We share information only where needed for the purposes described in this policy. Recipients may include:

  • Squarespace, which hosts our website and processes form submissions;
  • our email, document storage and other business service providers;
  • venues and wedding suppliers who need relevant details to deliver your celebration;
  • professional advisers, including accountants and legal advisers;
  • authorities where disclosure is legally required.

We do not sell personal information. We limit supplier disclosures to information relevant to their work.

Squarespace also processes certain visitor information for its own purposes, as explained in its Privacy Policy.

Our enquiry form uses Google reCAPTCHA to help prevent spam. Google’s handling of information is explained in its Privacy Policy.

International processing

Some service providers may process information outside the UK, including in the United States.

Where UK data protection law requires safeguards for these transfers, we use an applicable adequacy arrangement or approved contractual safeguards. You can contact us for information about the arrangements relevant to your data.

How long we keep information

We retain personal information only for as long as needed for the purpose for which it was collected.

For enquiries, we consider whether discussions remain active and whether reasonable follow-up is needed. For clients, we consider the duration of our work together, outstanding matters and applicable legal or accounting requirements.

Guest planning information is removed when it is no longer needed for the celebration or any related follow-up. Information relevant to a dispute may be retained until the matter is resolved and any applicable claim period has passed.

Cookies

Our website uses cookies and similar technologies. Some support essential functions, such as security and website operation. Others, where enabled, help measure website use.

Where consent is required, optional cookies will be used only after you agree. You can change your choices through the website’s cookie controls, where available, or manage cookies in your browser.

Further information about Squarespace cookies is available in its Cookie Policy.

Protecting your information

We use appropriate technical and organisational measures to protect personal information, including limiting access to people who need it. No online service can guarantee absolute security.

Your rights

Depending on the circumstances, you may have the right to access, correct or erase your information, restrict its use, or receive certain information in a portable format.

You can object to processing based on legitimate interests, and you can object to direct marketing at any time.

Where we rely on consent, you can withdraw it by contacting us. Withdrawal does not affect processing already carried out lawfully.

To exercise your rights, use the contact details above. We may need to verify your identity before responding.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

Concerns and complaints

Please contact us if you have concerns about how we handle your information so we can investigate.
